Finance Coordinator
Beginning January 2018

The Finance Coordinator (PT) reports to the Executive Director and is responsible for all financial data entries, accounts payable and receivable, and maintaining and reporting bookkeeping records for the CAA.

Essential Finance Coordinator job functions include but are not limited to:

  • Maintain all financial records of the CAA
  • Work with Executive Director and Finance Committee to prepare and maintain annual budget
  • Maintain financial reports, including Profit & Loss, Accounts receivable, Accounts payable, payroll, tax liabilities for federal and state government (quarterly reports, payroll taxes, W-2, 1099)
  • Develop system to account for financial transactions by establishing a chart of accounts
  • Maintain all accounts by verifying, allocating and posting transactions
  • Record receipts and make bank deposits
  • Pay vendor invoices in a timely manner
  • Issue invoices and monthly statements in a timely manner and ensure that receivables are collected promptly
  • Ensure proper collection of sales tax and remit to government
  • Ensure compliance with local, state, and federal government reporting requirements
  • Assemble information and coordinate with CPA to produce annual audit
  • Assemble information and coordinate with CPA to produce annual 990
  • Prepare and present financial reports to Executive Director and Board Treasurer monthly and upon request
  • Process payroll on the 15th and 31st of each month
  • Calculate variances from the budget and report significant issues to Executive Director.
  • Maintain historical records by filing documents
  • Comply with federal, state and local legal requirements by studying requirements, ensuring adherence to requirements, filing reports, advising management on needed actions
  • Balance general ledger and conduct a monthly reconciliation of every bank account
  • Maintain petty cash fund
  • Maintain cash banks for special events
  • Maintain an orderly digital and hard filing system
  • Other duties as assigned by Executive Director

 

Qualifications and Experience

  • Bachelor’s degree or higher in accounting or business administration
  • 5 or more years of experience working in accounting or business administration as well as a knowledge of bookkeeping and generally accepted accounting principles
  • Superior knowledge of Quickbooks, Excel and other report systems
  • Superior written and oral communications skills
